Limit number of matches and merges

Merging records in your CRM requires precision, and Dedupely is built to help you merge confidently while minimizing the risk of incorrect merges.
While there are no restrictions on the number of matches or merges you can perform, Dedupely provides safety settings and visual warnings to help you avoid merging unrelated or risky data groups. This guide explains how those settings work and shares tips for avoiding bad merges.

Safety settings: Match limits & merge limits

Dedupely includes a set of configurable merge safety settings found in your account preferences.

Match limits

Set a maximum number of duplicates allowed in a single match group. If a match exceeds your configured Match Limit, it will be hidden automatically from your Search Pad to help avoid merging large, potentially unrelated groups.
This is especially helpful when using broad matching logic (e.g. matching only on First Name or Company Name), which can generate too many results in one group.

Merge limits

Set a limit on how many records can be merged at once in a match. If you try to merge a group that exceeds your Merge Limit, Dedupely will prompt you with a warning before proceeding.

What happens when a merge group exceeds your limit?

If your selected matches include a group with more records than your merge group setting allows, Dedupely will display a warning message:
High risk matches found. One or more of the selected matches has more than # duplicate.
This may mean they are incorrect. If you are unsure, please skip large matches and review them individually later.
You’ll then be given two options:
  • Skip large matches (recommended): Proceed only with safe groups and revisit the others later.
  • Include large matches (not recommended): Proceed with all selected groups, including those over the safety threshold.
This gives you a chance to pause and review large match groups, especially if they were generated by flexible or experimental matching rules.

Helpful tips to avoid missed or incorrect merges

Even with safety settings in place, the best protection is thoughtful setup. Follow these tips:
  • Use at least 3 fields to define your match logic. E.g., First Name + Last Name + Email.
  • Watch for duplicate groups with 5 or more records. These often indicate weak logic or missing filters.
  • Run a few single merges before launching Auto or Bulk Merge.
  • Leverage Merge Rules to control how specific fields behave during a merge.
  • Schedule Auto Merge during off-hours while you fine-tune your setup.
