Pipedrive Best Practices

A practical guide for using Dedupely with Pipedrive: how to match records accurately, merge safely, manage syncs, and track results with ease.

Dedupely’s integration with Pipedrive makes it easy to manage duplicate data and keep your CRM clean. This guide outlines the best practices for getting accurate, safe, and efficient deduplication results within Pipedrive.

1. Understand how Dedupely works with Pipedrive

  • Dedupely uses Pipedrive’s native merging tools to perform merges.
  • We don’t override your CRM’s logic, merges behave exactly like they do inside Pipedrive.
  • All merged data stays within your Pipedrive account.

2. Connect and sync your data

When you connect Pipedrive to Dedupely:
  • Dedupely will prompt you to log in via OAuth.
  • We will begin syncing your Contacts, Organizations, and Deals.
  • Pipedrive does not support syncing custom objects, so syncing is limited to core objects.

3. Match carefully with core fields

Start your searches with reliable fields like:
  • Name and Email for Contacts
  • Organization Name for Companies
  • Title or Status for Deals (when structured consistently)
Use filters to fine-tune your results and reduce noise.

4. Merge in logical phases

To ensure the best results:
  1. Begin with Single Merge to preview how the process works.
  2. Move on to Bulk Merge once confident.
  3. Enable Auto Merge after testing your match settings.

5. Customize your merges with rules

While Pipedrive doesn’t support custom objects, you can still define:
  • Merge rules for fields like Name, Email, or Phone.
  • Logic to control which value wins or loses.
Details in: Merge Rules

6. Monitor results in merge history

  • Track every merge from the Merge History page.
  • Click on any merge to see a breakdown of the values and which record was kept.
  • Export history as a CSV for review or documentation.

7. Use merge limits for extra protection

Configure your Search Pads to:
  • Limit the number of records matched per group.
  • Set a maximum number of records allowed per merge.
This avoids accidental mass merging. Learn more in: Merge Safety

8. Sync control and record limits

Use App Management to:
  • Choose which objects to sync.
  • View your record counts to stay within subscription limits.
  • Disconnect and reconnect CRMs when needed.
